Transcripts

The University of Calgary provides transcripts for its current students and alumni. A transcript is a record of a student's academic history, including courses taken and grades received.

University of Calgary transcripts

The Office of the Registrar issues transcripts for University of Calgary students and alumni. Transcripts provide a record of a student's academic history up until the date it is printed. Official transcripts can be mailed from the University of Calgary to an institution or home address, while unofficial transcripts can be viewed anytime through the Student Centre.

An unofficial transcript provides an overview of your progress at the University of Calgary. Obtain your report through your Student Centre.


Ordering a transcript through the Student Centre

Current and former University of Calgary students who need a transcript issued by mail are encouraged to submit a request through their Student Centre.

Log in

Log in to your Student Centre and navigate to the "Exams and Grades" or "Alumni Home" page.

If you are a former student who no longer has access to this platform, please review the information on placing an order through the Service Portal instead.

Click on the "Request Official Transcript" link and complete all fields by following the instructions provided.

If you require any additional documentation to be sent with your transcript request, please send this information to transcript.request@ucalgary.ca.

Allow for processing time

Transcript requests are processed in 3 to 5 business days. You will receive an email notification once this has been completed. From there, transcripts are sent out in the mail as per the processing and delivery options requested. Mail times will vary.

Please note: Choosing to have your transcript couriered will expedite the delivery timeline and allow the package to be tracked. However, up to five business days is still required for processing.

Await delivery

Mail times will vary depending on location and delivery method. If your transcript was issued to an institution, please check with them to confirm receipt (and remember that they need time to process incoming mail on their end).

While you wait, you can view your unofficial transcript through your Student Centre.


Ordering a transcript through the Service Portal

If you no longer have access to your University of Calgary Student Centre and require a mailed copy of your transcript, you can submit a request using the Service Portal instead.

Log in to the Service Portal. If this is your first time using this platform, start by creating a user account.

Under the "Transcript" header, select the button that says "Order." Complete all fields by following the instructions provided.

If you require any additional documentation to be sent with your transcript request, you will have the option to include an attachment as part of your submission.

Ordering a transcript in person

Due to COVID-19, the in-person transcript request option is currently unavailable. Please submit a request through the Student Centre or Service Portal instead. If you need any assistance, please email transcript.request@ucalgary.ca.

Please note: Transcripts cannot be requested over the phone.

Official transcript request options

If you're applying for graduate or professional school, or to an agency that's requesting an official transcript, ensure that you've followed their instructions. Some institutions or agencies require official transcripts be sent directly to them; others request that you collect transcripts in security-sealed envelopes to forward to them along with other application documents.


Official Transcript Type:

  1. Issued to an institution

     

    Sent directly from the University of Calgary to recognized institutions/agencies.

    Choose this option if an organization asks for your official transcript to be mailed directly to them from the University of Calgary.

  2. Issued in a secured envelope

    Sent individually in sealed envelopes to the student for forwarding to institutions/agencies.

    Choose this option if you need to include an official transcript as part of an application or document package that you will then be submitting.

  3. Issued to a student

    Issued for a student's personal records.

    Choose this option if you would like to order an official transcript for your records. If you ask for more than one copy as part of your request, they will arrive in the same envelope.

  1. Processed Immediately

    Your transcript request will be processed within five business days and will reflect your academic record as of the day it was ordered. Transcripts are sent out by mail twice per week; mail delivery times will vary.

  2. Grade Posting

    Your transcript will be printed once all grades have been posted for the term you specify. For example, if you request grade posting for fall 2020, your transcript won't be printed until all of your grades for the fall 2020 term have been posted in your Student Centre.

  3. Degree Confer Date

    Your transcript will be printed once your degree has been conferred. Conferral is the day of your convocation.

Canada Post: Delivery is free of charge using standard mail service.

Courier: An address and telephone number are required for all couriered transcripts; you will be asked for this information as part of your transcript request. Please note that couriers will not deliver to a PO Box. If needed, you may request your tracking number for the courier delivery by contacting Enrolment Services after your order has been submitted.

Choosing to have your transcript couriered will expedite the delivery timeline and allow the package to be tracked. However, please remember to allow up to five business days for processing. The University of Calgary cannot be held responsible for meeting deadlines or ensuring delivery.

Is the University of Calgary sending paper transcripts?

Yes, transcripts are being processed and sent within 3 to 5 business days. Once mailed, delivery times may vary. Order through your Student Centre if you have access, or if not, submit a request using the Service Portal.


What information is included on my official transcript?

An official transcript includes the following information pertaining to the student at the time of printing:

  • Name, student ID number and birthdate (day and month)
  • Program and faculty
  • A list of all courses registered in, attempted or completed
  • Grades received for courses attempted or completed
  • Grade point average (GPA) for each term
  • Units (credits) per course
  • Degrees awarded
  • Transfer credits received
  • Honours and awards received
  • Current academic standing and non-academic misconduct conditions

Note: Your official transcript is a record of your academic activity and cannot be altered in any way.


What is the difference between ordering a transcript through the Student Centre versus the Service Portal?

Requests from either platform are reviewed and processed as they are received. However, if you are able to access your Student Centre, you are encouraged to use this platform for ordering transcripts. If you no longer have access to your Student Centre, you can make a request through the Service Portal. First-time users of the portal must create a user account.


What should I do if an institution asks for another document to be sent to them with my official transcript?

  • For requests submitted through the Student Centre: please email any additional documents to transcript.request@ucalgary.ca.
  • For requests submitted through the Service Portal: an attachment can be added directly to your request. Please include additional documents as part of your submission.

The institution requesting my transcript is not accepting mail right now due to COVID-19. Can I have a transcript sent electronically?

Although the University of Calgary’s standard practice is to send official transcripts by mail, we recognize that some institutions are unable to receive paper documents at this time due to COVID-19. If an institution has requested an electronic copy of your official transcript, we can prepare one to be emailed.

In order to send your transcript electronically, we require the following information emailed to transcript.request@ucalgary.ca (Subject: Electronic Transcript Request):

  • Your full name:
  • Your birthdate:
  • Your student ID # (if known):
  • The email address for the institution* to which the transcript will be sent:

*We are only able to email official transcripts to recognized institutions (not students). Please double check the email address you are providing to ensure accuracy. Missing or incomplete information will delay the completion of your request.

 After emailing the required information, please allow up to five business days for processing.

Finally, please note that by submitting a request for an electronic transcript, you are providing us with permission to send your academic records over email. It is also your responsibility to ensure that your institution will accept an electronic copy of your transcript as official documentation.  If you would prefer a copy of your official transcript to be mailed, you can submit a request using the Student Centre or Service Portal.

What is an unofficial transcript?

An unofficial transcript provides an overview of your progress at the University of Calgary. Unofficial transcripts do not need to be ordered; they can be viewed by students anytime through the Student Centre. Follow these steps to access your unofficial transcript.
